Silvercare Holiday Lane Estates

Holiday Lane Estates (HLE) used to be owned by a corporation called 12 Oaks, that employed Business Office Managers. I was one of them.
When HLE was bought by Silvercare Management, LLC, my role was eliminated due to a lack of such employees in their system and I was re-assigned as concierge. I continue to perform advanced administrative and technical duties far beyond the traditional concierge role. I serve as the facility's primary technologist and adminsitrative assistant.


== Administration ==
  • Used Paycom report generation as needed. Mostly to record quarterly employee work activity (who worked on what days) for upload to the corporate database
  • Filed invoices and obtained W-9s from vendors
  • Did business-side long-term care filing for residents who needed it (some LTC providers required us to submit a form to pay the resident’s responsible party)
  • Managed procurement and inventory control for housekeeping, medtech, and PPE supplies
  • Manage vendor relationships and negotiate contracts for multiple departments
  • Uploaded documents to corporate database and retrieved documents for staff as needed

== Engineering & Graphic Design ==
  • Created tools to enhance efficacy and help cope with the work requirements placed on me. Some examples are included under the projects section
  • Designed posters for the activities department to showcase events and performers
  • Drafted new professional forms that match the corporate style on request
  • Created banners on request by printing a custom-developed design on 4 sheets of 11x17 paper

== Tech Support and System Maintenance ==
  • Administered and maintained the CISCOR OneSource system, collecting reports, assigning pendants, making users, and ensuring system functionality
  • Provided tech support to staff and residents, handling diverse issues that ranged from PC issues to Spectrum box & remote installation and troubleshooting

== Data Analysis and Reporting ==
  • Created analysis tool that grabbed data from a dietary budget Google Sheet at the end of every week, processed the data using Google Apps Script, then emailed directors with the current state of the budget and a forecast of what the month may look like. This one was made on request of our previous ED
  • Developed a mathematical formula to predict monthly glove supply needs, ensuring availability for care staff with minimal purchases. Derived from observation and a value learned from data to eliminate uncertainty on how many gloves of any size I should buy per month, with an added padding to hedge against chance

Promoted within 4 months to manage critical business operations. Some of the work involved was processing invoices, submitting corporate forms, submitting checks into the database, getting info for residents, answering calls, helping employees with timecard issues, and communicating information to the community (employees and resident contacts).
